If Zara takes Friday off, what happens?

Welcome back to The Clarity Letter.

I want you to think about someone on your team for a moment.

Let’s call her Zara.

Zara knows how everything works.

Need the latest client information?

Ask Zara.

Not sure what happens after an application comes in?

Zara knows.

Need to find that document?

Zara knows where it lives.

Something unusual happens with a customer?

Zara knows what to do.

Zara is fantastic.

And every organization appreciates having people like her.

But here’s the question I’d ask as an operations consultant:

If Zara takes Friday off, can the work continue just as smoothly?

That question tells me a lot about an organization.

Because strong operations allow great people to bring their expertise to the work without requiring them to carry the entire process in their heads.

The knowledge lives somewhere accessible.

The process is documented.

The workflow is understood.

Ownership is visible.

The systems support the team.

And another capable person can confidently pick up where Zara left off.

That creates something incredibly valuable:

Continuity.

It also changes the employee experience.

People can take vacation.

New team members can get up to speed faster.

Leaders can delegate with greater confidence.

Customers receive a more consistent experience.

And experienced team members get to spend more time using their expertise instead of answering the same operational questions repeatedly.

So here’s a little test for your organization this week.

Choose one important recurring process and ask:

Could another capable person complete this confidently using the information, process, and systems we currently have?

If the answer makes you pause, you’ve probably found an opportunity worth exploring.

Sometimes what an organization needs next isn’t another person.

It’s a better way of capturing and supporting the knowledge its people already have.

And yes, this is exactly the kind of operational work I love helping teams build.
