Welcome back to The Clarity Letter.

A while ago, I was looking at a process with a team when the Chief Executive Officer said something that made me smile:

“I know we have a system for this somewhere…”

And there it was.

The organization had tools.

Plenty of them.

A CRM.

Spreadsheets.

Shared folders.

Forms.

Email.

A project management platform.

Each one had been introduced for a good reason.

But over time, the team had created its own ways of getting things done.

One person tracked information in a spreadsheet.

Another kept notes in the CRM.

Someone else used email.

And when leadership needed an update, someone pulled information from several places and pieced the story together.

The opportunity wasn’t another tool.

It was connection.

We needed to decide:

Where should information enter?

Where should it live?

Who needs access to it?

What should happen next?

What can happen automatically?

What should leadership be able to see?

Once those questions were answered, the technology became much easier to organize around the work.

I see this often.

Organizations invest in good tools and still find themselves doing a surprising amount manually.

That’s because a collection of tools and an operating system are two different things.

A good system connects people, information, and actions.

When that happens, the experience changes.

A form submission can create a contact.

The right person can be notified.

A follow-up can be triggered.

A task can be created.

The status can change.

Leadership can see progress.

And the team can spend more time doing the work that actually requires their judgment and expertise.

So before investing in another platform for 2027, take inventory of what you already have.

You might discover that your biggest opportunity is making your existing tools work together.
