Before you buy another system, check this first…

But first, welcome back to The Clarity Letter.

A good system can completely change the way your organization operates.

But whenever someone tells me,

"We need a new CRM."

"We need a project management platform."

"We need an automation tool."

My first question usually isn’t:

Which one?

It’s:

What do you need it to help you do better?

That question changes the conversation.

Because the best system is not necessarily the one with the longest feature list.

It’s the one that fits the way your organization needs to work.

Let’s take a CRM.

Before choosing one, I want to understand:

How do leads enter the organization?

What happens after someone expresses interest?

Who owns the relationship?

What information does the team need?

What follow-ups should happen?

When does a lead become a client?

What does leadership need visibility into?

Now we can talk about technology.

Because we’re no longer shopping for software.

We’re designing how the work should happen.

This is also why two organizations can use the exact same platform and have completely different experiences with it.

The technology matters.

The workflow behind it matters just as much.

One of the things I enjoy most about my work is taking something that currently feels like:

Person → email → spreadsheet → reminder → another person → follow-up

…and redesigning it into a clear, connected workflow that the team can actually follow.

Then we configure the technology around that.

So if you’re considering introducing or replacing a system this year, start here:

What should happen from the moment this process begins to the moment it is complete?

Map that first.

Then choose the technology capable of supporting it.

Your systems should fit your operations.

Your operations shouldn’t have to twist themselves around your systems.
